Accounting Centralization for a Retail Chain (7 Stores) — SVC Service Case Accounting Centralization for a Retail Chain (7 Stores)
About the Client:
A retail chain consisting of 7 stores that previously operated independently using separate local accounting databases.
Problem:
- Decentralization: Each store had its own local 1C/BAS database. Accounting was maintained separately on the accountant’s PC.
- Accounting Errors: Manual stock reconciliation was time-consuming and led to discrepancies and mistakes.
- Lack of Analytics: No real-time visibility of consolidated inventory levels across the entire network for procurement planning.
Proposed Solution:
Implementation of a Distributed Information Base (DIB) structure with a central node hosted on a cloud server. This approach combined store autonomy with the power of centralized cloud infrastructure.
Implemented Tasks:
- Infrastructure: Deployment and configuration of a cloud environment based on Proxmox and Windows Server.
- Security: VPN configuration (Mikrotik/OpenVPN) for secure communication between stores and the central server. Automated backup setup.
- 1C Architecture: Creation of a master database and configuration of 7 peripheral DIB nodes with scheduled synchronization via secure FTP storage.
- Monitoring: Continuous monitoring of data exchange between nodes with instant alerts in case of connection loss.
- Support: Launch of a dedicated technical support line for cashiers and accountants.
Results:
- Autonomy + Unity: Stores continue operating even without internet access, with automatic synchronization once connectivity is restored.
- Transparent Accounting: Accounting operates within a unified server-based environment. Consolidated stock balances are available instantly.
- Reliability: The central database runs 24/7, and systematic backups eliminate the risk of data loss.
- Control: Management can monitor each store’s performance in real time and quickly react to synchronization issues.
This project enabled the retail chain to transition from a fragmented accounting model to a centralized, scalable, and reliable system. SVC Service ensured both technical implementation and ongoing operational stability.
